Bulk Adjustments with the Wizard
The CourseKey Adjustment Wizard simplifies the process of creating student attendance record adjustments. With a few simple selections, the tool will help you correct your student’s awarded time while avoiding complicated calculations. To speed up the process we have also implemented the Bulk Adjustment functionality to adjust multiple student records at once.
To apply an adjustment to multiple students at once you’ll begin by selecting the students on the Attendance List page. Checkboxes are now located to the left of each student’s name.
To select All of the students in the course, click the checkbox at the very top of the list.
After selecting at least one student on the attendance list page the Adjust button will appear in the top left corner of the Attendance List page.
Once the Adjustment Wizard is open for the selected students, the process will be the same as an adjustment for an individual student with a few exceptions. While the process is the same, some options are available for individual adjustments that cannot be completed in bulk. For bulk adjustments, the Wizard will present up to 5 different options.
Depending on when you are making the adjustment some options may be unavailable. (If it is not available the icon will change to grey).
Edit Check-in
For bulk adjustments ‘Edit Check-In’ will allow you to check-in all students now or create a check-in for students at the start of the attendance session. Additionally, if students checked-in late an adjustment can be made to edit the student’s first check-in to the start of the attendance session.
Edit Check-out
This option will allow you to easily check-out multiple students at once. During an active attendance session, this action can check all students out ‘Now’ (the time of the adjustment). After the attendance session has ended, any students that are still checked-in can be checked-out at the ‘End of Class’.
Award Full Time
Selecting this option will void past records and award the student the total possible time available in the attendance session. Award Full Time is only available after the end of the attendance session.
Remove All Time
Selecting this option will remove any of the student’s accrued time for the attendance session and move that data to the student’s voided records. For example, if an instructor accidentally checked-in some students on the Attendance List page they could later choose to Remove All Time to correct that mistake (after the end of the attendance session).
Override
Occasionally a student may need a more specific adjustment. After selecting ‘Override’, each of the recorded check-in and check-out sessions will be shown. Click on a time field or an empty field to enter a custom time. Click the trash can to remove an entire session, or click ‘Add New’ to create a new session.
Void Past Records and Adjustments
If a student has check-in/check-out data, selecting an adjustment to Award Full Time, Remove All Time, or Override will void the student’s past records, so the Wizard will notify you when those adjustments are selected. Voided records are not included in students' awarded time, but are visible in the “Voided Records” section of the students' attendance record.
Override Check-out Policy
Schools with a mandatory check-out policy require students to check out of a session to be awarded time. After the instructor edit-window has ended, an administrator has the ability to make an exception to the policy and award the student time for that session. If an administrator selects to ‘Edit Check-Out’ or ‘Award Full Time’ notification will be shown in the wizard to indicate the adjustment is overriding that policy, and the results will be shown in the student’s transaction record.
Confirmation
After the adjustment has processed for the selected students it is important to review if the changes have been applied. The Wizard confirmation will indicate Success, Failure, or Partial Success.
Any students that did not receive the adjustment in their records will be listed, along with the reason for the error. These errors are based on the student’s individual transaction record. For example, you can not check-out a student who has not checked-in.
In most cases, it is best to review the student’s check-in/check-out data to see if any changes are needed. If you encounter a Network Connectivity issue that resulted in failures, you can select ‘Try Again’ on the confirmation page. If the adjustments were successful, or you’ve finished reviewing any errors, click Close to return to the Attendance List page.
