Checklist Item Submission Connector
Using the Checklist Item Submission connector, administrators can link their form directly to particular skills listed in a program checklist. Once a student is prepared to be evaluated on performing their competency, the administrator or instructor gains immediate access to evaluate the skill and assign a grade for each step within completing the competency. Another advantage of this connector is that during the initial setup, administrators can decide if they want the grade provided on the form to serve as the student's grade in Skills Tracker. This functionality enhances efficiency, reducing duplicate efforts and the risk of errors when inputting grades after form completion.
Helpful Tip: In your checklist settings, enable the option labeled "Require Submission Type" to designate whether students should be marked as Observed, Assisted, or Performed when they complete a skill.
Step 1 - Add the Connector
Within the form builder, select ‘Add Connector’ to begin to connector setup. From there, select ‘""Checklist Item Submission Connector.’
Step 2 - Aligning Form Grades with Skills Tracker
The initial stage of setting up the connector involves deciding whether you’d like the grade entered on the form to be the same grade that’s reflected in Skills Tracker. Choosing 'Yes' means the form grade will serve as the student’s skills tracker grade for the skill count. Opting for 'No' requires manual grading of the skill after completing the form.
Step 3 - Add Checklist Items
Add your checklist items.
Disabled checklist items indicate they are already connected to a different form; these disabled items display a blue icon next to them, indicating their current form association.
Items that do not have a grading scale enabled within their checklist settings will require inputting an approval threshold. If items have a grading scale enabled in their checklist settings, they will show the predefined approval threshold and no additional action is required.
Adding the Grade Field
To select the grade field:
1. Click ‘Edit’ within your form connector tab.
2. Click ‘Select Field’
3. Select the grade field
4. Click “Apply”
a. Afterward, you will see a blue tag displaying your grade field label, confirming that your grade field has been applied to your connector
5. Click “Save” within your form connector tab to secure your grade field selection
The selected grade field will inherit each item’s approval threshold. The grade field will also capture the item’s grading scale (0-100 or 0-5) within the grading rubric.
Please note that grading rubrics cannot exceed 6 when an item is linked to a 0-5 grading scale in its checklist settings.
Remove Checklist Items
Once your form is published, you cannot make further edits, but you can still remove checklist items. To prevent errors, ensure that the Checklist Item Submission Connector is connected to at least one item.
Connected Skills within a Program
Skills associated with a form will be marked with a blue icon, indicating their current form connection. This icon is displayed next to connected skills in checklists on the Program Info page, when adding a skill count for selected student(s) and when viewing the progress of a specific student's checklist.
Adding Skill Count
Add Skill Count for an Individual Student
1. Go to the Checklists tab in the program.
2. Choose the correct checklist from the left-side dropdown menu.
3. Select the student in which you’d like to add a skill count
4. Click ‘Add Count’ on the right hand side
5. Select the connected skill and complete all required fields
6. Click ‘Add’
a. If you’re not seeing the ‘Add’ button, scroll down to the bottom of the modal. Repeat step no. 5 and 6 for each skill you’d like submit.
7. Click ‘Submit’
8. Complete all connected skill forms.
Add Skill Count in Bulk
1. Go to the Checklists tab in the program.
2. Choose the correct checklist from the left-side dropdown menu.
3. Select the relevant students.
4. Click ‘Add Bulk Count'
5. Enter the Date Completed, skill quantity, and further criteria in the slide-out menu.
6. Submit the skill criteria.
7. Complete all connected skill forms.
When skills connected to a form are chosen, administrators or instructors are immediately directed to the workflow to complete all required skill forms. Each form will clearly present the student’s name, skill name, checklist name, and program name, facilitating efficient grading of each form.
Once the skill forms are completed, administrators, instructors, and students can review the forms and their approval statuses.
